Aka.ms mfasetup – What is Multi-Factor Authentication (MFA)?
Aka.ms/mfasetup – When you sign in to your online accounts – which we call “authentication”, it is a way to prove that you are the person you claim to be.
This was traditionally done using a username and password. This is not the best way to do it. Sometimes usernames are your email address.
People tend to choose simple passwords or use the same password on multiple sites because they can be difficult to remember.
Almost all online services – shopping, banks, and social media – now offer a way to make your accounts more secure.
It’s sometimes called “Two-Step Verification” or “Multifactor Authentication”, but all good online services use the same principle.
You will need more than your username and password to sign in to an account on a new device, app or web browser. To prove your identity, you will need another thing. This is what we call the second “factor”.
An authentication factor allows you to confirm your identity while signing in. A password, for example, is one type of factor. It’s something you already know. These are the three most commonly used types of factors:
- Something you know – Like a password, or a memorized PIN.
- Something you have – Like a smartphone, or a secure USB key.
- Something you are – Like a fingerprint, or facial recognition.
How does multifactor authentication work?
Let’s suppose you want to sign in to your school or work account. You will need your username and password. If this is all you need, anyone with access to your username or password can sign in from anywhere.
Multifactor authentication can make things even more complicated. When you first sign in to an app or device, you will enter your username and password. Next, you will be prompted to enter your second factor. This will verify your identity.
You might be using the Microsoft Authenticator app for your second factor. Open the app on your phone, and it will show you a 6-digit unique number. Type this number into the site.
However, if someone else attempts to log in as you, they will enter your username, password, and then when prompted, the second factor.
They cannot enter the 6-digit number unless they have your smartphone. The 6-digit number in Microsoft Authenticator is updated every 30 seconds, so even if they know the number they used to sign up for yesterday, they are still locked out.
Important facts to know
It’s not necessary to go through the second step often. Many people are concerned that multifactor authentication will prove to be extremely inconvenient.
However, it’s usually utilized the first time you log in to the app or device, for instance, the first time you log in after you change your password. In the future, you’ll require the primary factor, typically the same as you use today.
The added security is because anyone trying to hack into your account probably isn’t connected to your device, which means they’ll require an additional factor to gain access.
Multifactor authentication isn’t only for schools or work. Every online service, from your bank account, your email, and your online accounts, support the second method of authentication. You should check the settings for these services and switch them on.
Set up your Microsoft 365 sign-in for multi-factor authentication
After your administrator allows your company and your account to use multifactor security (MFA), you will need to create your account to use the feature. It should take only around a minute.

When you set up MFA, it adds protection for your Microsoft 365 account sign-in. For instance, you’ll enter your password, and then when asked, you enter an authentically generated verification code generated by an authenticator app or transmitted to your mobile.
- Log into Microsoft 365 with your work or school account using your username and password every day. Once you’ve chosen to sign in, you’ll be asked to provide more details.
- Choose Next.
- The default method for authentication is to use Microsoft’s free Authenticator application. If you’ve installed it on your device, Select “Next” to follow the steps to connect the account. If you don’t, there’s a link to download it.
- If you prefer to use SMS messages on your phone, then choose I’d like to use an alternative method. Microsoft 365 will ask for your mobile number and send you an SMS with a 6-digit number to verify the device.
Tips: For a faster, and more secure experience, we suggest using an authenticator application instead of SMS verification.
- After completing the steps, provide the additional verification method you’re using. Then the next time you log in to Microsoft 365, you’ll be required to enter additional verification information or perform the action, such as typing in the verification code supplied by your authenticator app or texting to you via text message.
Notice: Generally, you’ll only need the additional verification method the first time you sign in to any new device or app or after changing your password. You’re likely not to regularly receive the additional security code for verification unless the organization needs it.
